Executive Assistant / Office Manager – Silicon Valley

Cavnue is looking for a proactive and engaging Executive Assistant and Office Manager. In this role, you will be responsible for complex calendaring, travel and expense management, and prioritization of commitments and deadlines for four to four VPs in the Product and Technology Organization. Additionally, you will be responsible for ensuring a world class employee experience in our Silicon Valley office. From vendor management, planning office events, to day to day upkeep of our facilities, this role is integral to the foundation of our business. We are looking for an individual with an entrepreneurial spirit, who thrives on anticipating the needs of their VPs and facilities, someone who enjoys creating order out of chaos and a creative problem solver. This role will report to the Chief of Staff – Product / Technology Organization and is located in our Silicon Valley office, located in Mountain View, CA. Executive Assistant Responsibilities:

  • Manage heavy calendaring and proactively prioritize commitments to help with time management in a thoughtful and purposeful manner
  • Plan, coordinate and book cost-effective travel of the VPs while adhering to corporate policy
  • Create and submit expense reports as prescribed by corporate policy
  • Partner with VP and key stakeholders to track agenda items and influence meeting agenda. Assist with any follow-up items during and after the meeting.
  • Plan and execute team events for the Hardware, Software and Program Management organizations within budget
  • Assist with any special projects as needed.

Office Manager Responsibilities:

  • Maintain a safe, secure and healthy work environment for Cavnue employees and guests
  • Supervise the maintenance of office and facility equipment, including copier, printer, etc., and coordinate with key stakeholders for upkeep as necessary
  • Responsible for day-to-day operations of the facility, such as welcoming guests, managing building office key cards and resolving any building issues
  • Negotiate and own office food and supply orders, ensuring the office and lab are fully stocked and manage catered food orders
  • Manage the setup of new employees, ensuring their equipment, desk, and swag are properly sent or set up prior to their first day of work
  • Develop and document office processes
  • Plan and execute office events within budget
  • Assist with a variety of high-impact projects to amplify productivity, as needed

Requirements:

  • 3+ years of related experience in administrative environment
  • Excellent organizational skills with great attention to detail
  • Clear, concise, effective and professional verbal and written communication
  • High level of integrity and discretion in handling confidential information and dealing with professionals inside and outside the company
  • Event planning, expense report, and calendar management experience
  • Ability to multitask and complete items based on hard and fast-changing deadlines
  • Strong proficiency in calendar, presentation, and organization tools (Google Workspace, Microsoft Office/Microsoft 365, etc.)
  • Team player – with a “no job is too small or large” mentality
  • Ability to lift 25lbs.
  • Needs to be onsite twice per week to start. Will eventually be required to be onsite five days a week.
